Reporting Illnesses

TRIUMF is committed to caring for its people, on site or off, whether we are operating or not.  As we monitor the situation and adjust our protocols, the health and well-being of our community will remain a top priority.  

Until further notice we are curtailing all on-site research activities. Until further notice, all staff able to work remotely are being asked to self-isolate and work from home. With fewer people on site, the better the chance that everyone stays healthy.

Reporting illness

During this unprecedented time, all efforts are being made to streamline the process for reporting and managing our workforce. The following protocols are being implemented effective immediately across TRIUMF. These simple guidelines will help keep us safe, while assessing and accounting for the health and well-being of our people.

In developing these directives, we have thoroughly considered matters of privacy and confidentiality. Human Resources, Occupational Health and Safety, and other teams are balancing privacy with practical considerations to ensure the health of our community. Moving forwards, we all must exercise a high degree of discretion and follow the protocols detailed below.

What do if you’ve returned from international travel (includes the United States)

  • Step 1:  Contact your supervisor immediately and explain you have returned from travel. You are required to self-isolate for 14 days upon arrival.
  • Step 2: Your supervisor must report your self-isolation to Human Resources (HR) yourhealth@triumf.ca and your divisional administrative assistant, who may seek clarifying details about your case.
  • Step 3: After you have completed your self-isolation, please contact your supervisor and notify HR via yourhealth@triumf.ca to determine your return to work.

What to do if you fall ill while working on site:

  • Step 1:  If you need First Aid, call x 7333 for an attendant.
  • Step 2:  Contact your supervisor and Occupational Health & Safety (OHS) who will jointly carry out an assessment. If outside of normal work hours call x7333 and ask that your supervisor and OHS be contacted.

  • Step 3:  Based on the assessment, your supervisor and OHS will determine how best for you to get home.
  • Step 4a:  If your symptoms match those of COVID-19, OHS will need to collect additional information to develop a risk assessment and determine an appropriate response, which could include the decontamination of affected areas, case tracking, and risk assessments for co-workers and other staff. 

Your supervisor must also report the case immediately to Human Resources (HR) at yourhealth@triumf.ca, and your divisional administrative assistant.

  • Step 4b:  If your illness is clearly unrelated to COVID-19, please complete the Leave & Absence Form and submit to payroll@triumf.ca.  If the illness goes beyond 4 days, please contact Maxine McKay (mmckay@triumf.ca). You do not need to proceed to Step 5 or 6.
  • Step 5:  Your supervisor and the divisional administrative assistant, supported by HR, will follow-up with you to collect details regarding your personal situation, health status, and recovery.
  • Step 6:  Depending on the assessment result, you will be told the length of time to self-isolate and when it is safe for you to return to work. At that time, please contact your supervisor and also notify HR via yourhealth@triumf.ca to determine the process for your return to work. Depending on your circumstance, TRIUMF may require you to work from home.

What to do if you fall ill while working remotely and cannot work:

  • Step 1:  Contact your supervisor immediately and explain your situation, including your symptoms. If your symptoms match those of COVID-19 (fever, dry cough, difficulty breathing), please self-isolate and call 8-1-1.
  • Step 2: Your supervisor must report your illness to Human Resources (HR) at yourhealth@triumf.ca, and your divisional administrative assistant, who may seek some clarifying details about your case, such as when you last worked on site, your exposure to others who are sick, and your recent travel history. If required, HR may consultant OHS to address any risks that may exist on site as a result of your illness. If your illness is clearly unrelated to COVID-19, please complete the Leave & Absence Form and submit to payroll@triumf.ca.  If the illness    goes beyond 4 days, please contact Maxine McKay (mmckay@triumf.ca).
  • Step 3: Your supervisor and the divisional administrative assistant, supported by HR, will follow-up with you to collect details regarding your personal situation, health status, and recovery.

Pay during self-isolation

TRIUMF is committed to supporting our employees during this time.

Yes, you will continue to be paid. Please arrange for remote work with your supervisor. 

I left for personal/professional travel BEFORE March 13 and am required to self-isolate. My work requires me to be onsite and I am not aware of remote work options during my 14-day self-isolation. 

Yes, you will continue to be paid. Connect with your supervisor to discuss potential remote work options and expectations for your self-isolation period. 

 

FOR THOSE WHO MAY HAVE BEEN EXPOSED TO COVID-19 WITHOUT TRAVEL: 

I am experiencing symptoms and am required to self-isolate. I AM able to work from home during my 14-day self-isolation. 

Yes, you will be paidIf you feel healthy enough to work remotely, you will receive regular pay. If not, you will receive sick pay. In either case, please contact your supervisor. 

I am experiencing symptoms and am required to self-isolate. My work requires me to be onsite and I am not aware of remote work options during my 14-day self-isolation. 

 Yes, you will be paid. If you feel healthy enough to work remotely, you will receive regular pay. If not, you will receive sick pay. In either case, please contact your supervisor. 

I live with someone who is experiencing symptoms and I am unable to take the required precautions to limit contact, and therefore I need to self-isolate. I AM able to work from home during my 14-day self-isolation. 

Yes, you will be paid. Please arrange for remote work with your supervisor. 

I live with someone who is experiencing symptoms and I am unable to take the required precautions to limit contact, and therefore I need to self-isolate. My work requires me to be onsite and I am not aware of remote work options during my 14-day self-isolation.
